We handle data belonging to people who work at venues, festivals and event companies, and to anyone who writes or calls us. Here is exactly what we keep, what for, and what you can ask us to do about it.

1. Who is responsible

2. What we hold, and where it comes from

  • What you type into the form on this site: name, company or venue, email, phone and whatever you tell us about the event.
  • What you send us by email, including any attachments.
  • Messages you send us through social media.
  • What is said on a phone call: calls are recorded and transcribed. You are told at the start of the call, before anything is discussed.
  • The tax details needed to issue the contract and the invoice: company name, tax number, address and signatory.
  • Professional contact details of venues and promoters, taken from their own websites, their public profiles or industry directories. This is business and job-role data, not private life.

3. What we use it for, and on what legal basis

  • To reply and negotiate a booking: this is what is needed to deal with your enquiry and, if we agree, to perform the contract.
  • To issue and keep contracts and invoices: required by tax and commercial law.
  • To contact venues and promoters offering the artist: legitimate interest in promoting a professional activity, addressed to business contacts. You can object at any time and we stop writing.
  • To record calls: legitimate interest in having a record of what was said and agreed. You are told at the start and, if you would rather not be recorded, you can hang up and email us instead.

4. There is an automated system involved, and you should know

Much of this service is automated: an artificial intelligence system reads incoming emails and messages, drafts the replies, answers the phone, checks the calendar and can confirm a date and a fee within limits set in advance.

  • Every agreement is put in writing in a signed contract, sent before anything is final.
  • You can ask for a human at any point — just say so. You can also ask for an explanation of a particular reply, or challenge it.
  • The messages we exchange are kept so that what was agreed, and when, can be proven.

5. How long we keep it

  • If we never end up working together, the conversation is kept for up to one year from the last contact, in case it is picked up again.
  • If there is a booking, contract and invoice data is kept for the periods required by tax and commercial law, which reach six years.
  • Call recordings are kept for one year, unless there is a claim pending.
  • If you unsubscribe, we keep only your address on a suppression list. It is the only way to guarantee we do not write to you again.

6. Who else sees it

We do not sell or hand over data for anyone else to use for their own purposes. To operate we rely on providers who process it on our instructions and under a data processing agreement:

  • Website and database hosting.
  • Sending and receiving email.
  • Artificial intelligence services that draft and analyse messages.
  • Telephony and call transcription.
  • Calendar and scheduling tools.

Some of these providers are outside the European Economic Area, mainly in the United States. Those transfers rely on the standard contractual clauses approved by the European Commission or on an adequacy decision. If you want to know which specific provider handles your data, ask us and we will tell you.

7. What you can ask for

  • Access to the data we hold about you.
  • Correction if it is wrong.
  • Deletion.
  • To object to our processing, and in particular to receiving commercial messages.
  • Restriction of processing while a disagreement is resolved.
  • A copy of your data in a portable format.
  • Human review of a decision taken automatically.

Write to booking@360djagency.es. We answer within one month at the latest. If you think we have got it wrong, you can complain to the Spanish Data Protection Agency (www.aepd.es).

8. How to stop our emails

Every commercial email we send carries an unsubscribe line at the bottom, plus the technical header that lets you do it straight from your mail app. Replying with the word STOP works too. It takes effect immediately and your address goes on a suppression list.

9. Changes

If this policy changes, the date above is updated. If a change genuinely affects you, we will tell you by email.
